1. Introduction
Welcome to Gatekeeper. This Privacy Policy explains how Online Network Systems CC (“we,” “us,” or “our”) collects, uses, and shares information about you when you use our mobile application, Gatekeeper (“App”), and related services (“Services”).
We are committed to protecting your privacy. By using our App, you agree to the collection and use of information in accordance with this policy.
2. What Information We Collect and Why
We collect information necessary to provide a secure and effective access control service.
A. Information You Provide Directly to Us:
Account and Profile Information: When you create an account, we collect your First and Last Name, Email Address, Phone Number, and your Residential Address or Unit Number.
Purpose: To create and manage your account, verify your identity as a resident or authorized user, and contact you with important Service-related notices.
B. Information Collected with Your Permission While Using the App:
Location Data (Precise or Approximate): With your explicit permission, we may access your device’s location.
Purpose: To enable features like “Proximity Access,” which can automatically open gates when you are nearby, or to verify your location for security check-ins. You can enable or disable location services at any time through your device or app settings, though doing so will disable location-based features.
C. Information Collected Automatically:
Usage and Device Data: We automatically collect information about how you interact with our App. This includes your device’s IP address, device type, unique device identifiers, operating system, and App usage statistics (e.g., features used, timestamps).
Purpose: To monitor for security threats, diagnose technical problems, analyze usage trends, and improve the functionality and performance of our App.
3. How We Use Your Information
In addition to the purposes listed above, we use your information to:
Provide and maintain our Services, including managing gate access and logging entries/exits.
Manage your account and provide you with customer support.
Communicate with you about service updates, security alerts, and support messages.
Ensure the security and integrity of our Services and protect our users and property.
Comply with legal obligations and enforce our terms and policies.
4. How We Share Your Information
We do not sell your personal data. We may share your information in the following limited circumstances:
With Service Providers: We may share information with third-party vendors who perform services on our behalf, such as cloud hosting (e.g., AWS, Google Cloud) and communication services. These providers are obligated to protect your data and can only use it to perform services for us.
With Your Property Management/Security: Your basic profile information and access logs may be accessible to the designated security or management entity of the property you are registered at, as required for their security operations.
For Legal Reasons: We may disclose your information if required by law, in response to a valid legal request (e.g., a court order), or to protect the safety, rights, or property of the public, our users, or our company.
In Case of a Business Transfer: If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
5. Data Security and Retention
We implement reasonable technical and organizational measures to protect your personal data from unauthorized access, use, or disclosure. However, no internet transmission is 100% secure, and we cannot guarantee absolute security.
We retain your personal data for as long as your account is active or as needed to provide you with our Services. We may also retain data to comply with our legal obligations, resolve disputes, and enforce our agreements.
6. Your Data Rights and Choices
You have rights over your personal information. Depending on your location, these may include the right to access, correct, or delete your data.
Access and Update: You can review and update your account information at any time through the App’s settings.
Data Deletion: You have the right to delete your account and associated personal data. You can initiate a deletion request from within the App’s account settings section or by sending an email to us at info@gatekeeper.co.za with the subject line “Data Deletion Request.” Please note that we may need to retain certain information for legal or security purposes.
7. Children’s Privacy
Our Services are not intended for individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected such information, we will take steps to delete it.
